Builds a photography quote by stacking base salary, logistics, shoot costs, and post-production, then applies a configurable profit margin and tax. Base salary is monthly overhead plus desired salary divided by working days; post-production multiplies photo count by edit-time-per-photo and adds culling, client time, and delivery. Outputs are an effective hourly rate plus half-day and full-day rate cards at configurable hour thresholds (defaults 4 and 8).

Build a photography quote step by step by completing four cost categories and then applying final adjustments. Each category targets a different part of the engagement, from monthly overhead recovered through your daily rate to editing and delivery work paid after the shoot.

  • Start with the Base Salary section. Enter your monthly overhead costs such as Equipment Investment, Insurance, Software Subscriptions, Education and Training, and Marketing and Website costs. Set your Desired Monthly Salary and the number of Working Days per Month you typically shoot. Your daily base cost equals total monthly costs divided by working days.
  • Fill in the Logistics Costs section with any travel-related expenses. Enter Travel Distance in miles along with the Mileage Rate (default is the current IRS standard rate). Add Parking and Tolls, Travel Time in hours, Accommodation costs for overnight stays, and Meals on Location.
  • In the Shoot Costs section, specify the Shoot Duration and Setup and Teardown time in hours. Add rental costs for studios and equipment, plus props and materials. Use the Add Team Member button to include assistants, second shooters, models, or stylists with their role name and cost for the project.
  • Complete the Post-Production Costs section by entering the Number of Photos to Deliver, the average Editing Time per Photo in minutes, Culling and Selection hours, Client Communication hours, and any Delivery Costs for prints, USB drives, or online gallery hosting.
  • Adjust the Quote Settings to set your Profit Margin percentage, Tax Rate, Currency Symbol, and the hours that define a half day or full day for rate card calculations.
  • Open Advanced Settings to enable the Show step-by-step cost breakdown checkbox for a detailed formula view. Adjust the Contingency Buffer percentage and any Client Discount.
  • All numeric fields accept fractions (3/4), mixed numbers (1 1/2), and decimals (0.75). Results auto-update as you type, or press Calculate Quote manually. Press Reset to restore all defaults.
