Video Production Cost Calculator

A video production cost calculator breaks down an entire production budget into five categories: Production Crew, Pre-Production, Equipment, Post-Production, and Logistics. Each category holds line items with a description, a quantity or number of days, and a per-unit rate. Quantity multiplied by rate gives the amount for every row, each category sums its rows, and the categories roll into a grand total with optional markup, discount, and tax adjustments.

• A Description identifies each line item, such as Director or Camera Rental; default descriptions are already populated for common roles and costs.
• Quantity / Days is the number of units or shoot days for that item. Fractions (1/2), mixed numbers (1 1/2), and decimals (1.5) are all accepted.
• The Rate is the price per unit or per day, in dollars. Dollar signs and commas are stripped automatically, so $1,500 and 1500 both work.
• Each row's Amount is quantity multiplied by rate.

Line items can be added to any category for a full budget, or removed once no longer needed. Settings hold Markup Percentage, Discount Percentage, and Tax Rate, applied in that order: markup first, then discount, then tax on the post-discount amount. Settings also label the budget with a Project Name, Client Name, and Project Date for reference. The full budget can be exported to CSV and a previously exported budget imported back in.

A budget's category subtotals add up to $1,000 before adjustments. A 10 percent markup brings it to 1,000 x 1.10 = $1,100. A 5 percent discount applied to that marked-up figure reduces it to 1,100 x 0.95 = $1,045. An 8 percent tax on the post-discount amount adds 1,045 x 0.08 = $83.60, for a grand total of 1,045 + 83.60 = $1,128.60.

Estimating production costs before a shoot prevents scope creep and keeps clients informed. The category-based structure mirrors how production companies organize their internal budgets.

• Commercial Production: Quote a brand video with a director for 2 days at $2,000 per day, a camera operator for 2 days at $800, lighting rental at $500, editing for 3 days at $600, and catering at $150 per day for 15 crew members. Apply a 20% markup for agency overhead.
• Documentary Filmmaking: Budget a 10-day documentary shoot with sound engineer, drone operator, location fees across four cities, travel expenses, and extended post-production for color grading and sound design.
• Corporate Training Videos: Estimate costs for an internal training series: scriptwriting for 5 modules, a single shoot day with two cameras, graphics and animation for on-screen text, and music licensing for background tracks.
• Wedding Videography: Build a client-facing quote covering a lead videographer for 10 hours, a second camera operator for 8 hours, drone coverage for 1 hour, editing for 5 days, and a music license. Apply a 7% sales tax for the delivery state.
• Music Video Production: Lay out costs for talent, wardrobe stylist, hair and makeup artist, location permits, grip rental, and post-production color grading. Export the budget as CSV to attach to the production contract.
• Freelance Videographers: Track recurring costs across projects by importing a base CSV template, adjusting quantities and rates per job, and comparing grand totals to set competitive pricing.
• Non-Profit Organizations: Plan a fundraising video on a fixed budget by entering all anticipated costs, then adjusting line items until the grand total fits within the approved amount.
